Getting acquainted with the programme's rules

Searching for information about the partner university | Find out which universities your department cooperates with. Familiarize yourself with the content of agreements signed with the universities you are interested in. Check it out: - number of motilities (part B - Mobility numbers per academic year), - date of sending the application to partner university (part E - Calendar), - level of a foreign language required by partner university (part C - Recommended language skills). Remember that if two or more languages are provided by partner university, check in which language chosen subjects /modules will be run. Also, make sure that university requires a confirmation of language proficiency. Visit the website of the university you are interested in and check the application dates and documents required. The addresses of partner universities' websites can be found in interinstitutional agreements (see above, part A - Information about higher education institutions). Make a preliminary selection of the subjects you would like to study. Lists of subjects and learning outcomes can be found at partner university websites (e.g. as Course Catalog, ECTS Catalog or Courses). Find out if and how you can apply for accommodation and language courses. If in doubt, contact BKM, the Departmental Coordinator or the Erasmus office at the partner university.

Application | Familiarize yourself with the departmental qualification criteria and prepare the necessary documents. The Faculty's eligibility criteria are available on the faculty websites and also in departmental information boards. Fill out the online application form, then print double-sided and sign it. Confirm in the dean's office the GPA for the period determined by the Dean and ask for a confirmation regarding the active status of the student. If you have the right to receive a financial aid scholarship (stypednium socjalne) at Lublin University of Technology attach to the application form a copy of the decision granting the financial aid scholarship. A student qualified for the exchange within the framework of Erasmus + programme for which the University confirms the right to receive a financial aid scholarship may receive additional funding from the PO WER budget. Submit the application form to the Departmental Coordinator with documents confirming the fulfilment of the criteria required by the faculty and wait for the results of the application procedure.

Online language support | This applies to students for whom the language of instruction is English, French, Spanish, Dutch, German, Italian, Czech, Danish, Greek, Portuguese and Swedish. After qualifying by the faculty you will be given a license for a mandatory online language test. The invitation will be sent from the OLS system from This email address is being protected from spambots. You need JavaScript enabled to view it. and will be valid for 14 days. BKM will have access to the test results, but they do not affect participation in the exchange. Completing the test is a prerequisite for receiving a scholarship. The next step is granting by BKM the license for an online language course, to which you have to log into immediately after.

Application at partner university | After completing the application process in the department and obtaining the results, come to BKM to discuss further proceedings. Depending on the university, the application documents are sent electronically or by post. Required documents and Application Form can be found on the websites of partner universities. You can send documents via BKM, unless the procedure requires setting up an individual account in the partner university's online system. Remember that if you send /deliver documents by yourself to the partner university, please send an email (to This email address is being protected from spambots. You need JavaScript enabled to view it.) containing a list of sent documents and information about the date and method (email /mail /internet account) of sending them. Remember that the deadlines for accepting applications set by partner universities are non-extendible. Submit an accommodation /language course application at your partner university. If in doubt about the content or the method of creating a given document, contact BKM or the Departmental Coordinator. Documents, which should be delivered to partner universities, usually include: Application Form, Learning Agreement, CV (e.g. in the Europass format), Letter of motivation, Language Certificate, Certificate of Enrolment, ID (copy), European Health Insurance Card (EHIC) (copy), At BKM you will receive an NFZ certificate that you are a scholarship holder of the Erasmus programme; complete the application for the European Health Insurance Card. Attach the received certificate to the application (detailed information on the NHF website). Set the set of documents in the appropriate branch of the NFZ, Transcript of Records, Grant Holder Certificate (you will receive the document in BKM) Remember to prepare documents in the right language. Avoid filling in documents manually.

Resignation | In case of resignation from the exchange, you are obliged to submit a written resignation. The resignation form is available on the BKM website. A copy of the resignation form bearing the signature and stamp of the Departmental Coordinator, together with a copy of the email (information about the resignation) to the partner university should be delivered to BKM. Make sure that in case of resignation submitted after sending the application to the partner university, you will not be charged for the cost of booking a place in a student's home or a language course.

Semester/ University change | If it is necessary to change the semester or partner university, you should immediately write the appropriate application to the dean. After receiving the written consent, the document should be delivered to the BKM.

LUT – Student contract | After receiving information from the partner university about accepting the application (Letter of Acceptance, which should contain exact dates of start and end of the mobility period; exact dates are necessary to calculate the amount of the scholarship), deliver to BKM: Learning Agreement (part Before the mobility.) The document should be signed by the student, Departmental Coordinator, Vice-Dean for Student Affairs; a representative of the partner university), Information from the partner university about accepting the application (e.g. in the form of letter or email), Karta zaliczeń (curricular differences). The document should be signed by the student, Departmental Coordinator and Vice-Dean for Student Affairs, Student status certificate from the dean's office, Bank account information (bank account form). EHIC card or equivalent insurance, At BKM you will receive an NFZ certificate that you are an Erasmus scholarship holder; complete the application for an EHI Card. Attach the received certificate to the application (detailed information on www.nfz.gov.pl). Submit the documents in the appropriate branch of the National Health Fund. Sign the contract with LUT. In order to receive the scholarship no later than on the day of departure (based on the dates included in the contract), submit the required documents and sign the contract at least two weeks before the start of mobility. Make sure that you have copies of the most important documents (Learning Agreement, Acceptance Letter, Kartę Zaliczeń), preferably also in the form of scans.

Insurance | Check what the EHIC card (or equivalent insurance) entitles you to and how to use it. Purchase additional insurance in one of the insurance companies (this type of insurance is included, for example, to EURO26 or ISIC cards). Compulsory insurance is the accident insurance regarding the risks associated with the implementation of studies. The recommended insurance is liability insurance, covering damages caused by the participant in the place of study. Deliver a copy of the insurance copy (accident insurance) to the BKM by the mobility staring day.

Scholarship collection | Check if you have received a wire transfer. If you have any doubts about the date of receiving the scholarship, please contact BKM (This email address is being protected from spambots. You need JavaScript enabled to view it.) or the Financial Accountancy Department (M. Mazurek-Milczek, tel .: 81 538 4827).

Travel and stay preparation | Make sure you know the addresses, telephone numbers and office hours of contact persons at the LUT and at the partner university. Find accommodation, unless you've done it at an earlier stage. Prepare photos that may be useful for you to create documents during the exchange. If you are entitled to receive scholarships (for example for academic performance), the Lublin University of Technology will continue to pay them out. Check the dates of applying for a scholarship resulting from the Study Regulations. Check if you need to get a visa when going to a partner university. The necessary data can be found on the partner university website.
